Class scheduling and booking management

Set your timetable and rules. Bookjor handles booking changes from there.

Set up recurring weekly classes, waitlists, minimum enrollment checks, and credit-return deadlines. Bookjor applies the rules automatically. For courses with several set sessions, clients can enroll in the whole series at once.

For yoga, Pilates, fitness, dance, tutoring, and other studios with a regular timetable.

Regular class features

Clear rules for every booking change.

Scheduling is more than putting times on a calendar. Bookjor turns recurring timetables, waitlist invitations, low-enrollment cancellations, and credit returns into rules, so staff do not have to follow up class by class.

Regular timetable

Recurring classes

Choose the weekdays, start time, duration, instructor, room, capacity, and effective dates to create a recurring timetable. Adjust the instructor, room, or time for individual classes without rebuilding the whole schedule.

From setup to outcomeSet the pattern once. Future classes are created at the scheduled times.

When a class fills up

Waitlists

Clients can join a waitlist when a class is full. When a place opens, Bookjor sends a time-limited invitation in the order clients joined. A client is added to the class only after confirming.

From setup to outcomeFill openings in order without messaging clients one by one.

Minimum enrollment

Automatic class cancellation

Set a minimum enrollment and a check time. If enrollment is still too low, Bookjor cancels the class and notifies affected clients. If you configure compensation, it adds the selected package credits to their accounts using your chosen package, credit amount, and validity period.

From setup to outcomeAt the check time, enrollment determines whether the class goes ahead.

Client cancellation rules

Cancellation credit-return deadline

Set the deadline for automatic credit returns. If a client cancels before it, Bookjor returns the credits used for the booking to the original package. Clients can still cancel after the deadline, but the system does not return the credits.

From setup to outcomeCancel before the deadline to receive credits back; cancel later without a credit return.

Another way to schedule

One enrollment for a whole series of set sessions.

Use a course series for a six-week beginners’ course, a workshop bundle, or a training program that clients join as a whole. Set every session in advance, and clients enroll once for the entire series.

Course series and regular classes are separate booking types. Waitlists and regular-class automatic cancellation rules apply only to regular classes, not to course series.

Schedule multiple sessions

Set the date, time, location, instructor, and room for each session.

Enroll in the entire series

Clients join all scheduled sessions with a single enrollment, instead of booking each one separately.

One capacity limit for the series

A shared enrollment limit makes it clear how many places remain for the whole course.

Set an enrollment deadline

Choose when enrollment closes. New clients cannot join after that deadline.

FAQ

Class scheduling FAQs

Regular classes and course series use different booking flows. Here is how Bookjor handles each one.

How are recurring classes different from a course series?

Recurring schedules create regular weekly classes that clients book individually. A course series is a set of scheduled sessions that clients join with one enrollment, such as a six-week beginners’ course.

How does the waitlist fill an open place?

Clients can join the waitlist first. When a place opens, Bookjor sends a time-limited invitation in waitlist order. The invited client joins the class only after confirming; an unconfirmed invitation does not take a place.

When is a class canceled for low enrollment?

Set the minimum enrollment and how long before class Bookjor should check it. If the minimum is not met at that time, Bookjor cancels the class and notifies affected clients.

Are credits returned automatically when a client cancels?

If the client cancels before the credit-return deadline, Bookjor returns the credits used for that booking to the original package. Clients can still cancel after the deadline, but the system does not return the credits.

Do I need to rebuild a recurring timetable when one class changes?

No. After creating the recurring timetable, you can adjust the instructor, room, or time for individual classes without recreating the whole schedule.
